All presenting authors of abstracts have been notified of their acceptance/rejection.

Guidelines will be sent out by mid-September.

Late breaker abstracts are reserved for novel, high-impact research outcomes that were not available by the regular submission deadline. Submissions must present important, time-sensitive findings, such as:

  • Novel basic or translational science
  • Data from major clinical trials or cohort studies
  • Public health initiatives

These should have high relevance and impact on HIV care, policy, or research.

Late breaker abstracts must:

  • Be based on data generated after the regular submission deadline
  • Be scientifically complete, with robust results and conclusions
  • Present research of high importance and relevance to the field

Please note: Late breaker abstracts will be rigorously peer reviewed based on the criteria above. The late breaker deadline is not a second deadline for incomplete or delayed submissions.

To participate as a presenter at the EACS Conference, please submit abstracts of your research for inclusion in the conference programme.

We strongly encourage the use of person-first language in all submissions.

All submitted abstracts will be reviewed by a panel of experts. Accepted abstracts will be presented by the authors as either oral presentations or ePosters.

Late Breaker Abstract: Submission guidelines

  • The abstract must be submitted in English only. 
  • The text should not exceed 300 words (excluding abstract title and authors). 
  • The text of the abstract should briefly state: 
    • Purpose: Indicate the purpose of the study or the hypothesis that was tested. 
    • Methods: Include the setting for the study, the subjects, the diagnosis or intervention, and the type of statistical analysis. If references are needed, they should be given in the text. 
    • Results: Present as clearly as possible the outcome of the study and statistical significance if appropriate. 
    • Conclusion: Briefly discuss the data and emphasize the significance of the results. 

A maximum of 2 graphics and 2 tables can be uploaded or included in the abstract. These will not add to the word count. 

  • 1. General principles

    Abstracts presented at the European AIDS Conference must represent original scientific work. Encore submissions, meaning abstracts that have already been presented elsewhere, are not accepted. However, encores that contain substantial new data will be considered.

    2. Abstracts accepted at another event

    If an abstract has already been accepted for presentation at another scientific event that takes place before the EACS conference, it must be withdrawn from EACS. If the other event takes place after the EACS Conference, the abstract may still be presented at the Conference as original work. In such cases, the subsequent presentation will follow the rules of the other conferences or congresses.

    3. Abstracts submitted to journals

    – Abstracts that have already led to a full publication before submission for the EACS Conference cannot be presented and must be withdrawn.

    – If the corresponding full paper is scheduled for publication only after the Conference, the abstract may still be presented at the Conference, provided this is in line with the journal’s policy. In these situations, authors are strongly encouraged to request an embargo from the journal until the day of their conference presentation.

    – For complex or borderline cases (e.g. submission of the paper comes after the submission of the abstract but leads to a full scale publication before the conference), the final decision will be made individually by the EACS President (contact abstracts@eacs-conference.com).

Presenters must be registered for their abstract/clinical case to be included in the conference programme and abstract book. Please note that Exhibition Only registrations are not considered valid for this requirement.

All accepted abstracts (including late breaking abstracts)/cases will be published in the EACS 2025 Abstract Book. Please note that any changes or withdrawals must be made by 13 August 2025. After this deadline, no further modifications can be reflected in the publication for accepted abstracts/cases

Abstract Mentorship PRogramme

Applications for this programme are closed

To support high-quality abstract submissions, the Programme and Scientific Committees invite EACS members to take advantage of the Abstract Mentorship Programme.

The Governing Board and faculty of the EACS Education and Training Programme have volunteered to offer an online mentoring service for EACS members who are interested in submitting an abstract for the Conference.

This mentorship includes a critical review of the content, style and language of potential abstracts prior to submission.

Please note that participation in the programme does not guarantee abstract acceptance.
