Collaborating for a Sustainable Tomorrow

The European AIDS Clinical Society (EACS) is a not-for-profit organisation dedicated to promoting excellence in prevention, care, research, and education for HIV and related conditions across Europe. We advocate for equitable access to healthcare and strive to improve the quality of life for those at risk of or affected by HIV. Recognising the significant impact of environmental sustainability on public health, we are committed to integrating sustainable practices into our operations and shaping public health policies to reduce the disease burden and promote a healthier, more sustainable future.

Sustainability is at the core of our operations and our commitment to responsible conference management. We collaborate with partners to reduce carbon footprints and adopt sustainable practices in four key areas: Travel & accommodation, Production & waste, Food & food waste, and Energy.

Our Requests for Proposals from venues and suppliers now include a focus on sustainability engagement. We collaborate with partners who are committed to reducing their carbon footprint and have already integrated sustainable practices into their daily operations. By fostering partnerships within the meetings industry, we can make significant strides towards achieving key strategic goal of environmental sustainability.

We believe that only by working in partnership within the events industry can we make significant strides towards achieving our key strategic goal of environmental sustainability. We collaborate with partners who are committed to reducing their carbon footprint and have already integrated sustainable practices into their daily operations.

  • The catering team is committed to minimising waste and promoting recycling and composting.
  • We aim to minimise waste and to recycle the constructions and signage.
  • Ban on disposable plastic.
  • Most of our documents are printed with recycled paper.
  • Biowaste treatment in catering offices.
  • Since EACS 2023, no more carpet in the aisles of the Exhibition.
  • Since EACS 2021, no more plastic badge holder, we are using eco-friendly badges and lanyards.
  • 100% green electricity supply.
  • LED-lights in session rooms, offices and EACS areas.
  • Presence of natural light = reducation in the use of electrical energy.
  • Water savings of 30 to 60% with water-efficient aerators.
  • Installation of water fountains near the restrooms.
  • Taps with infrared detectors.
  • The water remaining in the returnable bottles is recovered to fill the cleaning contractor´s auto-washing machines.
  • Site fully accessible to disabled participants.
  • Accessibility with real-time multilingual transcription.
  • Cleaning service provider involved in an integration process.
  • Approved caterer with responsible and sustainable offers.
  • Construction made of sustainable materials such as panels that can be reprinted up to five times, LED lights, and eco-friendly furniture.
  • Use of textile banners instead of mesh, which are more environmentally friendly.
  • ISO 20121 is a standard for sustainable event management.
  • The Conference is managed using responsible systems.
  • ISO-certified partners, like K.I.T. Group, support the EACS in organising the conference. Additionally, the venue holds ISO 20121 certification.
