The registration fees for the 21st European AIDS Conference are published in advance to help delegates, institutions and industry partners plan and budget their attendance.

Registration to the Conference opens on Wednesday, 10 March 2027.

Regular delegate and allied professional/student registrations include on-site and online* access during the Conference.

On-demand access to the recorded sessions is included after the Conference.

All fees exclude 21% VAT (rate applicable in Czechia as of October 2026).

Allied professionals are non-physician HIV care providers who are critical to multidisciplinary care, such as nurses, physical therapists, pharmacists and psychologists. Community representatives are included in this category.

Proof of eligibility for the reduced fee is required.

  • Entry to all conference sessions*, the exhibition hall, the ePoster area and the opening ceremony
  • Access to conference content** on the digital platform and conference app, including real-time captions of the speakers’ presentations in many languages
  • Video on demand of all scientific sessions (subject to speaker consent) on the digital platform and conference app after the Conference, followed by access via the EACS eAcademy
  • Welcome networking reception on Wednesday, 6 October 2027
  • Coffee breaks from Thursday, 7 October to Saturday, 9 October 2027
  • Complimentary two-year EACS membership, starting after the Conference (no automatic renewal)

Exhibition only registration fee

  • Access to the exhibition hall
  • Attendance at industry sponsored sessions*
  • No access to content on the digital platform and conference app

* Access to industry sponsored sessions is provided by the sponsors.
** Live broadcast of a selection of sessions, including plenary sessions, EACS Guidelines sessions, meet-the-expert sessions and Standard of Care workshops. Video on demand of all sessions, subject to the speakers’ consent.

Group registrations will be available when online registration opens on Wednesday, 10 March 2027. Please note that group registrations cannot be accepted without an individual postal address and email address for each delegate.

The following information is required for each delegate in a group:

  • Gender
  • Postal address
  • Country
  • Profession
  • Industry affiliation
  • Organisation/institution
  • Healthcare professional (HCP) or non-HCP

The deadline for submitting group name lists is Wednesday, 15 September 2027 (preliminary).

VAT
All registration fees exclude VAT. The rate currently applicable in Czechia is 21% (as of October 2026). The VAT rate is set by the Czech authorities, not by EACS, and may change.

Not included in the registration fees
Travel, accommodation and visa costs are not included and must be budgeted separately.

Visa and letter of invitation
Delegates who need a visa to travel to Czechia should plan their application well in advance. Information on visa requirements and letters of invitation will be available when online registration opens.

Terms and conditions
Payment, cancellation and name change conditions will be set out in the terms and conditions for 2027, published when online registration opens.

Visa Requirements

  • The Organiser will not contact embassies or consulates on behalf of visa applicants.
  • Contact the nearest embassy or consulate for visa application timing.
  • Refund of registration fee minus EUR 70 handling fee (excluding VAT) if visa applied for by 15 July 2025 and proof of visa denial provided by 14 October 2025.

 

Letter of Invitation:

  • Register for the Conference and submit full payment to receive a letter of invitation.
  • Letters of invitation will not be sent after 24 September 2025 (23:59 CEST).
  • Contact the Organiser at registration@eacs-conference.com for an official letter of invitation.
  • The letter does not guarantee a visa or financially obligate the Organiser.
  • All expenses related to the Conference are the attendee’s responsibility.
